Getting Started After a Grant Award
Confirmation of Award
Within one week of being notified of an award, please fill out the form linked below to indicate (1) that you have received notification and (2) whether or not you still wish to receive funding for your project.
Scope of Work
To make sure we're all on the same page about what your project will entail, you will need to submit a scope of work to UDOT that is consistent with your organization's TPA application. This scope of work must be approved by UDOT before TPA funds can be applied to the project. After your scope has been submitted, you will be notified by email whether or not your scope has been approved or if revisions are requested. Please submit your scope of work through the link below no later than May 31st.
At a minimum, your scope of work should include:
A list of tasks to be completed.
A list of final deliverables.
An itemized budget (i.e. a list of how much money is being budgeted for each task).
Funding Agreement and Transfer
Before UDOT can transfer funds to your agency, a funding agreement must be executed between your agency and UDOT. UDOT has a standard funding agreement that lays out the terms and conditions for the receipt and use of TPA funds. A pre-filled standard agreement will be digitally routed through Adobe Sign to the signatories that you designate on the form below (see link).
Once the agreement has been signed by all parties, the awarded TPA funds will be transferred to your organization's Public Treasurers' Investment Fund (PTIF) account. UDOT will need your organization's PTIF account number (usually 3-7 digits) in order to make the transfer; your organization's financial staff should be able to provide that number to you.
Please use the form in the link below to indicate who should sign the funding agreement. Please also provide your organization's PTIF number on the same form and submit it no later than June 30th.
Procurement and Project Management
Once your scope of work has been approved, your agency will be responsible for procuring any consultant help to complete the project, as well as managing the consultant contract. UDOT does not require consultants to be selected from its own consultant pool. However, if you would like to review the statements of qualification (SOQs) of consultants that are in UDOT's pool, you can request access to the SOQs by using this form.
